Being a business owner is tough. It seems like we are constantly balancing all the different aspects of running our businesses it can get totally exhausting! Unlike a big company, in your small business, the accountant, marketer, designer, office manager, and sales team are probably all the same person…YOU! There simply aren’t enough hours in the day to do it all!

Enter Dubsado.

Over on my resources page, I refer to Dubsado as the “do-it-all workhorse”—and it really is. Dubsado is a CRM (client relationship manager) that allows you to build relationships, schedule appointments, and create workflows to streamline your projects from start to finish.

1. Lead Capture

A lead capture form is like a contact or inquiry form—in fact, it is exactly like that because you can embed your lead capture form on your website’s contact page! When a client completes your lead capture form, it will automatically create a project in Dubsado and send you a notification email that you have a new lead.

Quick tip: Keep your led capture form short & sweet. Don’t make it too difficult for clients to get in touch with you! Think about what information you need to know now (like their wedding date, to know if you are available). The want-to-know info can wait until after you’ve gotten in touch (for example, their wedding theme or guest count).

2. Contracts

Never manually prepare a contract again! In Dubsado, you can create contract templates for your various services. Then, once you apply a contract to a project, it will automatically update with your project dates, client names, etc! Your clients can even sign their contracts directly in Dubsado.

Quick tip: When creating your contract templates, don’t forget to add some branding! Use your brand fonts, colors, and logo to give your clients a more high-end experience!

3. Invoices

All of my client invoices and payments happen through Dubsado. You can connect your account to Paypal, Square, or Stripe as your payment processor (Square for me!) and make the process totally automatic. You can also set up payment plans and send your client automatic reminders when their payment is due!

Quick tip: Set up your service packages in Dubsado’s templates area to make adding them to your invoices even easier.

4. Workflows

Workflows are the true magic of Dubsado. Workflows are how automations are created. A workflow can automatically send forms, emails, scheduling invites, and more. You can also create a todo for your task list and change a project’s status.

Quick tip: It takes time to set up your workflows to take advantage of their true potential. Write out your entire client process from beginning to end before diving into the Dubsado interface!

5. Scheduler

Last but not least…the Dubsado scheduler is a total gamechanger! Rather than going back and forth trying to find a good time for a call, or paying for a third-party app, it’s built right in. Clients can simply choose the time and date that works best for them.

Quick tip: Sync your Google calendar to your Dubsado account in your calendar settings. That way, Dubsado won’t show time slots during times you are busy.
